The Brief

ACS approached Just One for this project due to several factors, the most urgent being the end of Microsoft support for their current operating system license and the hardware it was installed on. This made it necessary for an update to the domain level to a supported version. Additionally, Just One faced challenges with missing files and overwrites on their existing infrastructure, which were worsened by inadequate storage on their on-premise server. ACS proposed a solution centred around a hybrid cloud environment, aiming to enhance accessibility, scalability, security, and reliability while minimising risks and costs associated with IT systems. The project had a strict timeline due to an impending audit of their systems.

Our Approach

ACS customised its approach to the Just One project, strategically focusing on understanding Just One’s unique needs and collaborating to deliver the right solution. Given the project’s complexity—due to sensitive data, end-of-life hardware and software, and a tight completion timeline—ACS managed the entire project from start to finish. We assembled a dedicated project team consisting of a project manager, technical lead and engineering resource. The project involved both remote work and on-site tasks, with data migration and hardware updates planned and executed in phases. Additionally, we coordinated the procurement, installation, and delivery of additional network equipment, configuring it in our in-house build room and installing it at both Just One sites. Just One’s Account Manager Rachel, provided regular updates to Russ and the Just One team.

The Outcome

The migration project was a success, completed within the allocated timeframe, ensuring a seamless audit process. By transitioning to the cloud system, Just One significantly reduced support tickets from users. The new system seamlessly integrates with their complex folder structure. Additionally, the implementation of SharePoint and OneDrive drives collaboration, replacing their previous on-premises approach that had caused issues. The introduction of new network equipment prioritises Just One’s system security, complemented by ACS’s cloud-to-cloud backup solution, which adds multiple layers of security to their IT estate.

“From the initial consultation with ACS, it was clear that they understood the needs of our organisation and the pressures we were under. Their approach was not too technical for us to understand, which gave us the confidence that they had our best interests at the forefront of their proposal. The project was explained to us in detail and Rachel kept us aware of the stages throughout. The move to the cloud system has improved how we operate enormously; our users have commented on the positivity the change has brought. The ACS team were courteous and professional throughout, even with our time pressures. We were more than happy to renew our IT support with ACS at the conclusion of the project, especially following the initial 12 month period which we found to be successful, due to the delivery of our expected service levels and the amazing service provided by Rachel and the rest of the team.”
